Every student and every staff member at the KU Leuven has a KU Leuven email adress.

for staff, this is [email protected]聽 for students this is [email protected]

This is the email address used for all official communication, and everybody is expected to check these mailboxes at regular times.

This can be done using a mail program or by surfing to the webmail. For students the webmail is linked from within the Toledo pages.

A calendar, task list, and notes are also attached to the e-mail address.

The new vs. the old mail environment

In autumn 2023, staff KU Leuven mailboxes were switched to a new mail environment. The mail servers were switched from mail servers in our own data centre (the "Exchange" environment) to mailboxes in the Microsoft cloud.

Configuration guidelines for mail clients and devices for students (Microsoft Cloud) and staff members who migrated to the Cloud

These mail and calendar apps are the only ones allowed by KU Leuven for the KU Leuven mail/ calendar environment in the Microsoft cloud. These are the standard app from Microsoft itself and the standard apps from the suppliers of the main operating systems (Windows, macOS, iOS, Android, and Linux) + an open source client. We guarantee the proper functioning of these apps and have examined their compliance with GDPR legislation and the KU Leuven IT security policies.

Managing email adresses

New staff members get an email address when starting at the KU Leuven, and students at enrollment. Changes can be made using:
